This policy applies to AI-assisted and communications features included in your accepted Order. Features and authorized actions depend on the configured service; purchasing one function does not authorize every possible automation.

1. Professional judgment and review

AI-generated summaries, classifications, drafts, and answers can be incomplete or inaccurate. The firm remains responsible for legal advice, professional judgment, conflicts, filings, deadlines, and appropriate review of client communications. Cogent provides technology services, not legal representation, and does not guarantee case results, hires, revenue, or flawless output. Cogent remains responsible for its agreed testing, configuration, support, and security duties; human-review requirements do not excuse those obligations.

2. Authorized actions and data

Document permitted actions, review requirements, and escalation rules before enabling autonomous workflows. Do not assume an AI feature has authority to bind your firm or make professional decisions. Limit inputs to information appropriate for the configured service and applicable confidentiality obligations. Processing, retention, and provider settings differ by feature; request the account-specific details before submitting sensitive material. This policy does not promise that every provider has identical retention or model-training practices. Any required restrictions must be verified and reflected in the applicable agreement and configuration.

Before calling, texting, emailing, recording, or transcribing, the responsible parties must establish appropriate notices, permissions, consent records, opt-outs, suppression controls, and contact windows for the relevant jurisdictions and activity. The Order must allocate configuration and operating responsibilities; each party remains responsible for its own conduct. Service-terms acceptance is not automatically consent to marketing messages or recorded calls. Do not use the service for unlawful solicitation, deception, impersonation, or messages sent despite applicable opt-outs.

4. Limitations and incident reports

The service is not an emergency-response service. Use appropriate emergency channels for urgent threats to safety. Carrier filtering, connectivity, inaccurate inputs, and provider outages can affect delivery and results. Report harmful output, unexpected actions, or suspected unauthorized access to [email protected] promptly, limiting sensitive information to what is needed for investigation.
