Website: Prosource Inc. d/b/a Cogent CRM · Questions: [email protected]

This notice explains personal information associated with the website and services of Prosource Inc. d/b/a Cogent CRM (“Cogent,” “we,” or “us”). For privacy questions or requests, email [email protected] with “Privacy” in the subject. Do not include passwords, payment security codes, or unnecessary confidential case information.

1. Website information and law-firm records

Cogent handles its business contacts and website interactions for its business purposes described below. A law firm using the service generally determines why its client, lead, and matter information is collected and used. Cogent processes those records to deliver the service under the firm’s instructions and applicable agreement. This notice does not replace the firm’s own privacy disclosures or expand Cogent’s contractual data-use rights. Contact the firm directly about its representation, files, or communications; we can help route a service-related request.

2. Information involved

Information comes from you, your organization, interactions with the site or service, and integrations the account authorizes. The categories actually processed depend on the features used.

3. Purposes and recipients

Information is used to answer inquiries, arrange demonstrations, administer accounts and billing, provide configured services, troubleshoot, protect systems, measure site operation, and meet legal obligations. Relevant information may be handled by authorized personnel and service providers supporting hosting, communications, payments, support, analytics, and enabled AI features. A customer-authorized integration receives information required for its function. These recipients are not necessarily the same for every account.

Information may also be disclosed when legally required, to protect rights or address fraud/security threats, or as part of a business transaction subject to applicable protections. A website submission does not authorize public use of confidential materials or a testimonial. Request information about the providers, processing locations, and contractual protections applicable to your account before enabling a feature with particular confidentiality or regulatory requirements.

4. Cookies and external services

The website uses cookies or similar technologies and includes externally hosted content and links. Use the cookie choices presented on the site, where available, and your browser controls to manage cookies. Blocking them can affect functionality. Visiting a linked site or using a separately contracted service is also subject to that provider’s disclosures. Website cookie choices do not automatically change processing required for your firm’s purchased services. Contact us about applicable advertising or privacy opt-out rights; this notice is not a claim that every technical preference is automatically supported.

5. Retention and security

Retention depends on the information’s purpose, the account agreement and instructions, service needs, billing and legal record requirements, dispute resolution, and backup lifecycles. Cancellation does not necessarily delete all records immediately. Request account-specific retention and export information before closing an account. Access and security requirements depend on the contracted service; no transmission or storage system is risk-free. Report suspected unauthorized access promptly. Contact us for security information relevant to your account and any specific requirements before relying on a feature for regulated or particularly sensitive data.

6. Requests and updates

Depending on applicable law and our role, you may have rights to access, correct, delete, obtain a copy of, or restrict certain uses of your information. We may need proportionate identity or authority verification and may refer firm-controlled requests to the firm. Legal obligations or others’ rights may limit a request; we will explain the applicable handling. Ask us about any required data-processing terms. Material changes to this notice will be identified and communicated as required; new uses requiring consent will not be authorized merely by posting an update. See our change-notice policy.
